Email from Owner Regarding 2018 Board of Directors

It has been brought to the attention of the board that an owner has been having informal meetings and sending emails to owners of units at the Americana providing misleading information. You may have received a recent email about HOA plans from this individual.

Please disregard these emails. They are not from the Board of Directors and in no way reflect actual HOA plans. If you wish to no longer receive messages from this individual, you can mark them as SPAM. Again, these emails are in no way associated with the Americana HOA or Board of Directors. The HOA will provide information to you via website updates, like this one, the Elevator reader, and monthly Open Meetings. The next meeting is Tuesday the 13th, if you wish to attend.

1st Floor Leak Update

You may have noticed several holes in the hallway outside of the laundry room. There is a leak that we are investigating. We had plumbers come out and look at it and we were told that the repair will require draining the pipes in the building of all water the day before the repair, which means that the heat will have to be off for a little under 2 days (1 day of draining the pipes, and a 4-8 hour repair window the following day). Currently the leak is slowly weeping and we are trying to wait to schedule the repair until the temperatures are not freezing. We are hoping we can get this taken care of when there is a week of higher temps predicted. In the meantime, we are leaving the situation as is, so it can be continuously monitored. We are hoping to avoid an emergency repair in freezing temps and do not want to shut off the heat unless absolutely necessary. We will provide more updates as they occur.

Executive Meeting Agenda

As mentioned on the elevator reader and the last website post, the board will be holding an executive meeting this month in lieu of an open owner meeting. This is because a representative from CAP management will be unable to attend any meetings in December. There was some concern expressed during the Annual election about CAP management and our maintenance person, so this executive meeting is an opportunity for the board to discuss these concerns openly, without a CAP employee present. Executive sessions may be held to discuss HOA employees or management per Americana bylaws. Minutes of the meeting will be posted in your portal for review.

We will resume monthly HOA meetings in January. The January meeting will occur on Wednesday, January 3rd at 7pm on the 10th floor. The HOA meetings will go back to the 2nd Tuesday of each month in February. Happy Holidays!

Announcements: Annual Meeting 2017 and 2016 clarification

The annual meeting will be November 14th at 7pm. There are three positions up for election. An official mailing from CAP with the proposed budget, proxy and a letter from the board will be mailed early next week.

You may also receive an unsolicited email and/or mailing from an angry owner or imaginary owner as has happened more frequently in the last two years. I am only going to address the most serious allegation because I do not feel like any of the others warrant any more time than I have already given them.

There was a quorum at the annual meeting in 2016. We had 27 owners present and required 21 for a quorum. The minutes were posted on the CAP website on February 15th, 2017.

There was not a vote by secret ballot as we only had two vacancies and two individuals running per Bylaws Article III Administration; Section 7. Conduct of Meetings of Members; Subsection i. Election of Directors to serve on the Board (when there is an election) (by secret ballot if more candidates are running than there are vacancies on the Board);
